Expected outcomes

  • Organisation: A repeatable method teams can rerun without external support.

Steps

1 | Setup

Step 1: Choose the target task

  • Open yesterday’s activity log → sort by volume → circle the AI-enabled task with the most daily runs (e.g., “Draft customer reply”).

  • Write its baseline usage % on a sticky: “AI used in 28 % of runs.”

Step 2: Gather the crew

  • 3–6 frequent users, 1 decision-maker (can approve tweaks on the spot).

2 | Pattern Huddle

Step 3: Scan the patterns

  • Spread HAP Pattern cards on the table or Miro.

  • Prompt: “Pick up the card that reflects what you did when you skipped or interacted with the AI.”

  • Limit: max 3 cards selected.

Step 4: Micro-stories

  • For each card, a volunteer tells a 30-second real story (“Yesterday I…”).

  • Capture verbatim pain-point quotes on the board under the card.

Step 5: Draft quick wins

  • Flip each chosen card → read the Quick-Win section.

  • If the suggestions fit, document your ideas so that they go from
    Pattern → Quick Win → Idea.

  • If not, co-create a one-line tweak using the verbs “reduce / add / switch”.
    Example: “Switch alerts to opt-in.”

Step 6: Decide playbook need

  • Ask: “Does this happen ≥3 times per week for ≥2 people?”

    • Yes? Circle the linked playbook name from the cards. Or start with the playbooks to unlock the associated behaviours and do something about them.

    • No? Stick with the quick win only.

Step 7: Assign owners + time slots

  • Write an owner’s name beside each quick win / playbook.

  • Book three 10-min stand-ups (Days 2, 3, 4) in calendars.

3 | Run & Log

Step 8: Execute the quick win

  • Example tweaks:

    • Habit Holdout → make AI step opt-in, manual remains default.

    • Proof Seeker → show “% accuracy” banner after output.

  • Owner-to-do list: switch setting, update team chat with “Try it now”.
